Automating Customer Data Migration from Follow Up Boss to Pebble CRM for a Land Buying and Selling Business.

Project Overview

This project involved creating an automated workflow to migrate customer data from Follow Up Boss, a CRM used for managing real estate leads, to Pebble CRM, a platform specialized in land management. The client, who was in the business of buying and selling land, needed an efficient way to transfer their customer data to streamline operations in Pebble. The automation was built using Zapier, ensuring that all customer information—such as contact details, deal stages, and notes—was transferred seamlessly between the two systems.

Project Scope

The client’s land acquisition and selling business required an efficient way to move customer data from Follow Up Boss, which was no longer fulfilling their needs, to Pebble CRM. The challenge was to ensure that all existing data, including customer profiles, deal status, and key notes, migrated accurately without manual intervention. The solution had to be:

Accurate: Ensuring that no data loss or discrepancies occurred during the migration.

Automated: Avoiding the need for manual data entry, reducing errors, and saving time.

Scalable: Capable of handling large volumes of data and future additions.

Challenges

Data Mapping: The fields in Follow Up Boss did not match 1:1 with Pebble CRM. Custom field mapping was necessary to ensure all relevant information was transferred correctly.

Real-Time Synchronization: The client needed real-time data migration for any updates made in Follow Up Boss to reflect immediately in Pebble CRM.

Maintaining Data Integrity: Ensuring that all customer information, including notes, communication logs, and deal stages, was preserved during the migration.

Process

1. Identifying Key Data Fields:

• We worked closely with the client to identify critical fields in Follow Up Boss (such as customer name, contact information, deal status, and notes) and mapped them to corresponding fields in Pebble CRM.

2. Setting Up Zapier Triggers:

• Using Zapier, we set up a trigger to detect when new customers or updates were made in Follow Up Boss. This included the addition of new contacts, updates to deal stages, and modifications to any existing notes.

3. Configuring Data Mapping:

• The automation used Zapier’s custom mapping functionality to ensure that fields from Follow Up Boss correctly translated into Pebble CRM. Custom fields in Follow Up Boss (like specific land properties or purchase statuses) were mapped to Pebble CRM’s corresponding fields.

4. Creating Actions in Pebble CRM:

• Once the data was captured, Zapier sent the information to Pebble CRM via API. Each action ensured that data was either created or updated in Pebble without duplication.

• We implemented conditional logic to ensure that data sync was accurate, including verifying that no duplicates were created and that existing records were updated rather than overwritten.

5. Testing and Refinement:

• The automation was tested rigorously with a sample data set to ensure the system could handle both the migration of new customers and the updating of existing customer records.

Result

The automated migration system provided the following benefits:

Zero Data Loss: The migration process ensured that all customer data, notes, and deal statuses were transferred accurately.

Time Savings: The client no longer had to manually transfer or update customer information, saving countless hours of manual data entry.

Real-Time Syncing: Any updates in Follow Up Boss were instantly reflected in Pebble CRM, ensuring that the client always had the most up-to-date information.

Scalability: The system can handle future data migrations and can be adjusted to accommodate additional fields or changes in the CRM structure.

This solution significantly improved the client’s workflow and data management capabilities, making Pebble CRM a more effective tool for managing their land transactions.
